Urgent Requests & Escalations

Know when to flag a deadline, when to reach out directly, and what information helps me take action quickly. Clear communication helps us prioritize the right work without treating every request as an emergency.

How to classify a request

These are practical examples, not guaranteed response times. The urgency depends on the actual borrower or transaction deadline, available information, and the consequences of waiting.

ROUTINE

Normal workflow

Use Arive notes and our established communication channels.

  • New application without an immediate deadline
  • Standard document follow-up
  • Non-urgent guideline or lender questions
  • Updated pre-approval without a pending offer deadline
  • Routine status or pipeline questions

What to do: Document the request and any relevant context in Arive.

TIME-SENSITIVE

Deadline approaching

Contact me directly during working hours and record the details in Arive.

  • Borrower actively writing an offer
  • Pre-approval letter needed for a specific submission deadline
  • Executed contract with a tight closing timeline
  • Lock expiration or extension decision approaching
  • Condition or document needed to protect a near-term milestone

What to do: Tell me the exact deadline and what action is needed.

CRITICAL ESCALATION

Immediate risk or material change

Call or text promptly when an active transaction is at immediate risk.

  • Closing or funding at risk today
  • Material qualification issue discovered near a hard deadline
  • Urgent lender or Local Processing issue that could prevent a required milestone
  • Significant borrower concern or changed terms needing the LO's decision

What to do: Contact me directly and involve the appropriate decision-maker or Local Processing as needed. Document the outcome in Arive.

What I need when you escalate

1. Identify the file

Use the borrower's name or Arive loan reference only through approved company channels. Don't submit file details on this public website.

2. State the exact deadline

Tell me the date, time, time zone, and what happens if we miss it. “ASAP” isn't as helpful as an actual deadline.

3. Explain the issue and what is needed

Include what changed, the current status, relevant facts, and the specific action or decision requested.

4. Document and update Arive notes

Record the issue, communications, decisions, commitments, owner, and next steps in the loan's Arive notes. Update the record as the situation changes.

Who should be involved?

LOAN OFFICER

Borrower-facing decisions

Owns borrower and agent relationships, pricing and financing advice, material changes, and confirmation of borrower decisions.

LOAN PARTNER

Qualification and coordination

I investigate technical and operational issues, organize the facts and options, reprioritize as appropriate, and coordinate with Local Processing.

LOCAL PROCESSING

Processing execution

Handles processing functions after handoff, including execution of disclosures, lender lock requests, relocks, lock extensions, and changes of circumstance. I coordinate with them on issues requiring attention.

Our approach: The issue. The facts. The options. When something needs an LO decision, I'll bring you enough information to make that decision rather than simply forwarding a problem.

Copyable escalation note

Use this structure for urgent requests in Arive. If the issue requires immediate attention, contact me directly first rather than assuming a note will be seen in time.

Contact and availability

Standard hours: Monday–Friday, 9:00 AM–5:00 PM Central Time.

Call or text: 563-224-8223
Email: ahamby@nexalending.com

For a genuinely urgent issue outside normal hours, you're welcome to text. If I'm available, I'm happy to help. After-hours monitoring or response is not guaranteed.

For time-sensitive lender execution, coordinate through the appropriate approved company and Local Processing channels. A message to me alone does not replace any required deadline or submission process.
